What a wall label cannot do
Walk through any major gallery and you will notice the same constraint repeated thousands of times. There is a work of art: a painting, a sculpture, a piece of jewellery from three thousand years ago: and beside it, a small card with a title, a date, and a few sentences. The amount of text is almost always the same, regardless of how significant the object is. A Turner seascape and a minor decorative vase both get roughly forty words.
That constraint is not laziness. It is physics. There is only so much wall space, and museum labels are governed by strict design standards: font size for readability, white space for visual comfort, distance from the artwork. A label that tried to tell the whole story would cover the wall. So curators make brutal edits, and most of what they know about an object never makes it onto the card.
The visitor standing in front of a Vermeer, wondering about the story of the woman in the portrait, the studio where it was painted, or what happened to the painting in the centuries since, goes home without those answers. They could look it up later, but most won't.
The shift
A QR code on the label doesn't compete with the artwork, it extends it. Scan, and the phone in the visitor's pocket becomes an audio guide, a biography, a behind-the-scenes documentary, all in one. The label stays clean. The story gets told.
How museums started using QR codes
The first serious wave of QR codes in cultural institutions arrived around 2010, but it was clunky. Smartphones weren't universal, separate apps were sometimes required to scan, and the landing pages were often underfunded text dumps that loaded slowly on 3G. The experiment stalled in most places.
What changed the picture was the integration of QR scanning directly into smartphone cameras. From around 2017 onward, any iPhone or Android could scan a code without downloading anything, just point and tap. That removed the last friction point. Suddenly, a QR code next to an exhibit was something a visitor could act on in two seconds, not two minutes.
The Smithsonian Institution in Washington was an early adopter at scale. The British Museum, the Rijksmuseum in Amsterdam, and the Louvre have all incorporated QR codes into their permanent collections to varying degrees. Smaller regional museums and art galleries, often with fewer resources for printed guides or audio equipment hire, found QR codes especially attractive. A single staff member can create a landing page for a new exhibit and have a printed QR code beside each object within a day.
What goes behind the scan
The content is where museums have found the most room to experiment. The obvious starting point is extended text: the full provenance of an object, the historical context, a biography of the artist. But that barely scratches what is possible. Audio guides accessed via QR have become one of the most popular applications. Where museums used to rent physical audio devices at the front desk, many now simply place a QR code next to each exhibit that triggers a narrated guide. No rental, no deposit, no queue. The visitor uses their own headphones and follows at their own pace.
Video is another dimension. The Natural History Museum in London links to time-lapse footage of fossil preparation. Art museums have used QR codes to share restoration videos, showing the layers of overpaint removed from an old master, or the microscopic analysis that confirmed an attribution. These are stories no wall label could tell. Some institutions have linked to interviews with living artists, or with the curators who acquired a piece. The gap between standing in front of an object and understanding its full significance narrows considerably when the person who knows the story most can speak directly to the visitor through a scan.
The accessibility angle nobody talks about enough
For visitors with visual impairments, the standard museum label is essentially inaccessible. It is small print, usually in low contrast against a pale card, placed at a height optimised for standing sighted adults. QR codes do not solve the visual impairment problem by themselves, but they open a door. A code that links to an audio description of a piece, narrated at a comfortable listening pace, is something a visually impaired visitor can access independently, on their own device, with their own accessibility settings already configured.
Several museums have begun pairing their QR codes with audio descriptions written specifically for visitors who cannot see the work clearly, rather than repurposing the visual descriptions written for sighted visitors. The difference matters. An audio description that says "the woman in the portrait wears a blue headscarf, its folds lit from the left" is more useful than one that assumes the listener can see what it is referencing.
Setting it up is straightforward
For any organisation thinking about adding QR codes to a physical space, museum or otherwise. The technical barrier is genuinely low. You need a web-accessible page for each item: this could be a single paragraph and an audio file, or a full multimedia presentation. You generate a QR code pointing to that URL, print it at a readable size on the exhibit label, and it is live. When the content changes or improves, the URL stays the same. The printed code never needs updating.
The Rijksmuseum discovered something worth noting: visitors who scanned QR codes spent more time at those exhibits and rated their visit more highly overall. The code does not distract from the artwork. It makes people look harder.
